Replacements and absences
The biggest losses do not come from a general shortage of people, but from two people missing today at 6:00. We build a mechanism in which an absence is detected before the shift and the replacement comes from a group prepared in advance.
How an absence breaks a shift
- You find out about absences in the morning, when the shift should already be running — too late to react.
- Gaps pile up at the worst possible moments: Mondays, weekends, end-of-month peaks.
- Patching holes with people “off a job ad” ends with staff who have to be trained from scratch mid-shift.
- The shift manager loses the first hours of the day to phone calls instead of running the operation.
The Veln mechanism: detect before the shift, close it during the shift
- We confirm attendance in advance — we know about the risk of a gap before the shift, not after it has started.
- A detected gap reaches the Veln coordinator as a ticket with an owner and a status — it does not get lost in phone calls.
- We launch the replacement from a reserve group that has already been onboarded at your site.
- You see the staffing status live in MyVeln, and after the shift you get a report: what happened and how it was closed.

What is needed on your side
- Showing us how the site really works during the walk-through (workstations, pace, shifts) — the reserve group has to know what it is walking into.
- Agreement to onboard the reserve people at the site in advance — that is the condition for replacements that work from the first hour.
- One reporting channel on your side (the shift manager or a coordinator) — we run the rest.

Operational questions
What happens when a worker does not turn up for a shift?
We know about the absence before the shift, or immediately after it is detected — we launch a replacement from the reserve group that knows your site, and you see the status in MyVeln instead of calling around.
Will the replacement be a random person from a job ad?
No. The reserve group is onboarded at your site in advance — the replacement is someone who has already worked there and knows the workstation.
How quickly does the replacement arrive?
As quickly as the logistics of the commute allow — we do not declare times we have not measured. What we do guarantee is transparency: you see the status of every replacement live, and the replacement rule is written into the contract.
Can I use this alongside my current agency?
Yes — the buffer model and the second-agency model are our standard way of starting. We do not require exclusivity.
