Cooperation models and responsibility

Temporary work (praca tymczasowa)

Employees hired by Veln and assigned to work under your supervision. It works well where demand fluctuates and where the work is carried out under the client’s day-to-day instructions.

Outsourcing of task delivery

Veln is accountable for delivering an agreed scope of work with its own team and its own supervision. It works well for separated processes with a measurable result.

We match the form of cooperation to the nature of the work and to the legal requirements on the client’s side — the detailed division of responsibilities is set out in the contract. The description above is general in nature and does not constitute legal advice.

Data security and compliance

  • GDPR: employee and candidate data processed on the basis of a data processing agreement, applying the minimisation principle.
  • Employee documentation (contracts, medical examinations, health and safety) kept on the Veln side, with client access within an agreed scope.
  • Employment of foreign nationals: we file the required notifications and registrations in line with the regulations.
  • The limit of disclosure: we do not share employees’ personal data beyond the scope of the data processing agreement — including during supplier qualification.

Operational rules of the cooperation

Raising a staffing request
By phone or email to the coordinator; we confirm receipt and the delivery date. The status is visible in MyVeln.
Reporting
A record of the hours worked as the basis for the invoice; a delivery report in an agreed rhythm (usually weekly).
Raising issues
Directly to the project coordinator; every issue has an owner and a status — no “black hole” after sending an email.
Replacements
A rule of cooperation written into the contract: you report the person to be replaced, we organise a replacement from the reserve group.
Complaints
The procedure is described in the contract: report → findings → corrective action → confirmation of closure.

Every document has a visible status and validity date. Documents issued on a current basis (ZUS/tax office) are prepared on request — so that you always get the current version, not a file from last quarter.

Questions from procurement and legal teams

Does Veln have an entry in the KRAZ register?

Yes — Veln sp. z o.o. is an employment agency entered in the KRAZ register under number 32854. The entry can be verified in the public STOR register, and we provide the certificate in the document pack.

Which supplier documents can you provide?

The full set of registration details (KRS, NIP, REGON), the KRAZ entry, certificates of no arrears with ZUS and the tax office, the third-party liability policy and the GDPR documentation — in one pack, with a visible validity date. We provide the documents on request as part of supplier qualification.

What does the contract and the division of responsibilities look like?

The contract states explicitly the scope of each party’s responsibility, the rules for replacements, reporting and the procedure for raising issues. We work in the form of temporary work or outsourcing — we match the form to the nature of the work and to the legal requirements.

How is the service settled?

A rate per hour worked with an open breakdown, the hour records as the basis for the invoice, an invoice weekly or every 7–14 days — to be agreed.

Do you accept vendor registration processes and supplier questionnaires?

Yes. We complete qualification questionnaires and register on procurement portals. You will find the dedicated contact for the procurement team on the vendor-check page.

How do you protect personal data?

We work under GDPR-compliant data processing agreements, applying the data minimisation principle. We do not pass employee or candidate data beyond the scope of the agreement — including in offer materials.
